South London Theatre Privacy Policy
How we protect your privacy
We are committed to safeguarding the privacy of our members and guests and have developed this Privacy Policy to explain what personal data we may collect from you and how it is used.
Under the European General Data Protection Regulations (GDPR), we only collect your information in order to help us pursue our legitimate interest of running a successful members' amateur dramatic society and charity.
Becoming a member of SLT
We need to collect:
- Full name, for identification purposes. Unless you withhold consent it will also be added to our booking website to enable you to benefit from reduced ticket prices
- Email address as primary means of contact (for the newsletter for example), unless otherwise requested
- Postal address for physical post if necessary
- Your telephone number in case we need to contact you urgently regarding any SLT activities you may be involved with
- Optional data submissions: Date of birth, identified gender, ethnicity, disability;
- these are only collected to help us compile statistics about our membership demographics, which can help us with funding applications. This information will always be anonymised and is optional
We use an external company, MemberMojo to process and securely store membership details under their privacy policy. This information is securely stored online and is only available to those selected individuals in administrative roles at SLT.
We will hold your personal data on our systems for as long as you are a member of the Club and for as long afterwards as it is in the Club's legitimate interest to do so for as long as necessary to comply with any legal obligations. How we collect your data
When you sign up for our mailing list
We use Mailchimp as our newsletter automation platform. When you sign up to our mailing list, you acknowledge that the information you supply will be transferred to Mailchimp for secure processing in accordance with the Privacy Policy and Terms.
You can unsubscribe, or update your mailing preferences at any time via links in the email or by contacting us at publicity@southlondontheatre.co.uk Our standard newsletter is sent on average twice a month.
We will never sell or pass on your details held on the mailing or membership database to any third parties for marketing purposes or otherwise.
When you make an online payment - membership
We use secure third-party payment providers, such as Stripe and PayPal to acquire and process all payments taken through forms on their websites and payment portals via the MemberMojo membership system,. At no point do we ever have access to your payment details, unless you provide them within a form for 200 Club prize payments, when they are securely stored within the MemberMojo system.
When you buy a ticket
Our Box Office payment system is managed externally by TicketSource, under the terms of their Privacy Policy. TicketSource retains your name, address details, email address, phone number and membership number (if applicable) in order to facilitate the purchase of tickets. They will retain this information for a maximum of two years from your last ticket purchase.
We do not have access to your payment details, and you can edit your record at any time. Your contact details are accessible only to our trained Box Office team, and we can use your details for marketing activities only if you have granted permission on your account.
When you pay on our premises
Card payments made on our premises are made via Zettle" under the terms of their Privacy Policy.
In either of the above cases, we do not have access to your payment details. With regard to Zettle payments, no information is captured that could identify you personally, but if you are sent either an invoice or a receipt, your contact details are accessible only to our trained team members.
When you buy merchandise
We use an external company, Spreadshirt to handle everything for us in terms of merchandise, within a SpreadShirt store embedded in our website. The Spreadshirt privacy policy can be viewed here.
When you are in a show
Should you be cast in a show, your name and image may be used in promotional materials both for that production and the future promotional activities and archive of South London Theatre. This may include - but is not exclusive to - searchable web content, production and rehearsal photos, programmes. You will be asked at the time of audition to indicate your consent for this. Denial of consent will in no way affect your chances of being cast. You may contact us at any time if you have any concerns or would like items removed from public view.
Your contact details will only be share by the director with the cast and crew on the production in which you are involved. You can speak to them at any time if you have any concerns with this.
When enrolling a child/young person in the Youth Theatre
We use an external company, MemberMojo, to process and securely store Youth Theatre Membership details, under their privacy policy. These are collected via a secure form on their website. At no point can we access your payment details directly and you can amend your record at any time. Our Youth Theatre Team maintains the contact details of parents/carers for emergency purposes. These are never shared outside the Youth Theatre.
Where children, young people or vulnerable adults are concerned, this policy should be read in conjunction with our Safeguarding Policy. Other occasions
As a membership organisation carrying out many events and activities throughout the year, we may from time to time need to collect information on a one-off basis. This might include fundraising drives, attendance lists, the annual season submissions and so on. On these occasions we commit to ensuring that your rights as data subjects are upheld to the best of our ability, and where possible additional privacy information will be provided.
Your rights
South London theatre only collects personal information about you and when you specifically provide us with such information on a voluntary basis. We will not share your personal information for marketing or any other purposes without your consent unless where required by law.
